Who I am

White Willow Acupuncture is run by Nathaniel (Nathan) Keegan, a sole trader and member of the British Acupuncture Council (membership number 961102), at the Canalside clinic, 376 Alderman's Green Road, Coventry CV2 1NN. I'm the "data controller" responsible for your personal information. You can contact me at info@whitewillowacupuncture.co.uk or on 07799 904918.

What I collect, and why

• Appointment requests and messages. If you use my booking or contact forms, I receive your name, phone number, email (if given), your preferred times and your message. I use this to reply and arrange your appointment. My legal basis is taking steps at your request before providing a service, and my legitimate interest in answering enquiries.
• Calls, WhatsApp, texts and email. If you contact me directly, I'll have the details you share, used in the same way.
• Patient records. If you become a patient, I keep records of your consultations and treatment, including health information. Health information is "special category" data, and I process it to provide your healthcare, under the duty of confidentiality that applies to healthcare practitioners. Records are kept securely in Cliniko, a clinical records system, for the period recommended by the British Acupuncture Council, then securely destroyed.
• The Five Seasons letter. If you sign up, I keep your first name, email address and, if you took my quiz, the element it suggested, to send you five seasonal emails a year. My legal basis is your consent. Every email has an unsubscribe link, and you can ask me to remove you at any time.
• Technical information. My website host records basic technical data, such as IP addresses, for security and to keep the site running.

Please don't include detailed medical information in website forms. We can talk about your health in person.

My free self-care tools and quiz don't send anything you enter to me. Choices you make in them stay on your own device. This website does not use advertising or tracking cookies.

Who else handles your information

• Netlify hosts this website and receives form submissions. Netlify is based in the United States; transfers are protected by the UK-US data bridge and/or standard contractual safeguards.
• Cliniko, a secure practice-management system designed for healthcare practitioners, stores patient records and appointment details on my behalf.
• MailerLite (if you join the Five Seasons letter) stores your name and email to send the letter.
• SumUp processes gift card purchases under its own privacy policy.
• Links to Google, Facebook, Instagram and WhatsApp take you to those services, which have their own privacy policies.

I never sell your information or share it with anyone for their own marketing.

How long I keep it

• Enquiries from people who don't go on to book: up to 12 months.
• Patient records: for the period recommended by the British Acupuncture Council.
• Five Seasons letter: until you unsubscribe.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to its use, and to withdraw consent at any time. To do any of these, contact me using the details above. I'll reply within one month.

If you're unhappy with how I've handled your information, please tell me first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint.
